TRVR (Total Recore Virtual Reality) is committed to providing a safe, secure, and privacy-conscious educational environment for schools, educators, parents, and learners.

We recognise the importance of safeguarding children and protecting personal information and have designed our platform to minimise the collection of personal data while supporting educational outcomes.


Educational Purpose

TRVR is an educational virtual reality platform designed to support learning, engagement, assessment, and progress monitoring.

The information collected through the platform is used solely to provide educational services and reporting functionality for authorised schools and home education users.

TRVR does not sell personal information.

TRVR does not use student information for advertising purposes.

TRVR does not create marketing profiles of students.


Information We Store

Depending on how the platform is used, TRVR may store:

Teacher Information

  • Email address

School Information

  • School name
  • Class names

Student Information

  • First name
  • Surname
  • Gender (used solely for avatar selection and visual personalisation)

Educational Information

  • Learning progress
  • Assessment results
  • Questions answered
  • Incorrect answers
  • Teacher assigned subject levels
  • Module completion information
  • Last played date and time
  • Time spent within learning activities
  • Speech transcripts generated during speech-enabled educational activities

Device Information

  • Assigned headset or device code

Information We Do Not Store

TRVR does not intentionally collect or store:

  • Medical information
  • Health records
  • SEND diagnoses
  • EHCP information
  • Behavioural records
  • Psychological assessments
  • Biometric information
  • Voice recordings

While some speech-enabled activities may generate text transcripts, TRVR does not store audio recordings of student voices.


Access Controls

TRVR uses role-based access controls to restrict access to information.

Schools

Teachers may access only the information associated with their own school.

Schools cannot access information belonging to other schools.

Home Education Users

Parents may access only the information associated with their own children.

Home education users cannot access information belonging to other families.

TRVR Administration

Administrative access is restricted to authorised personnel and is used only for service administration, support, maintenance, and account management.


Guest and Library Use

TRVR may be used in guest, demonstration, event, or library environments.

Where guest mode is used:

  • Personal information is not stored
  • Student profiles are not created
  • Educational records are not retained
  • Progress information is not permanently recorded

Data Security

TRVR takes appropriate technical and organisational measures to protect information from unauthorised access, disclosure, alteration, or destruction.

Security measures include:

  • HTTPS encrypted communications
  • Firebase Authentication
  • Secure cloud infrastructure
  • User access controls
  • School-level data separation
  • Parent-only access controls

Educational information is stored using Google Firebase services hosted in the United Kingdom (London region).


Data Retention and Deletion

TRVR retains information only for as long as necessary to provide educational services.

Authorised teachers and home education users may delete student information through the platform.

Where a school subscription or home education account is cancelled, associated educational records and personal information are removed without unnecessary delay.

TRVR does not maintain separate customer data backups containing deleted records.


Teacher and Parent Responsibilities

Schools and home education users are responsible for ensuring that information entered into the platform is accurate and appropriate.

Schools are responsible for notifying TRVR when authorised staff members should be added, removed, or have their access amended.

Parents are responsible for managing information relating to their own children.


Reporting Concerns

If a school, parent, or user has concerns regarding privacy, safeguarding, or data handling practices, they should contact TRVR directly.

All concerns will be reviewed promptly and investigated where appropriate.
